Rockfest 2012 Event Thread

Yeah I think we should have a location finalized first.
http://lolomai.com/
This is where I'm camping. It's beautiful central and has showers
rates are 75 per night for the small cabin 2 adults 2 kids, medium cabin up 6 adults @95 per night, Couples cabin room for 95 2 adults only, small cottages room for 6 @140 night. All of them have a toilet. Only the small cabing doesn't have a shower. Tent and RV sites are 15 per adult and 10 per child per night.

They will not let us have the raffle on location so were gonna have to find a location for that. I'm going to ask Nena Barlow if we can use her location for the raffle in Sedona.

Crash and I went up there for some brokeback moments. We scouted 2 campgrounds and a couple trails. There's tons of options for us.

The lolomai campground is nice... and their price reflects that. This camp is 7 miles from Sedona and 7miles from Cottonwood. So it's dead center between the towns. There is a dish washing station, playground, pool, and fishing. There is room for tenters/RVs/and there are cabin on location. There are no services/stores near the campground either. For the day of the raffle they require a $7 per vehicle fee for those who are attending for the dinner/raffle, and there is no designated area for the raffle. Prices are as posted earlier.

Deadhorse Ranch State Park is in Cottonwood. There is a gas station just outside and in the middle of Cottonwood. So services are always nearby. There is room for Rv's/tenters/and cabins. There is also a designated day use area that can be rented for $135 and allows 15 additional visitors. The day use area is HUGE, with electricity and plenty of room for Mike to setup for cooking. Deadhorse is also considerably cheaper. I forget what the RV/tent sites go for but, cabins are 50 per night.

I'll post up pics as soon as they're done loading.

Discuss...

Also shall I get the event posted in the national event forum?

Do you guys want to post up for dinner and raffle ticket presales?

Yes get them going now. so we can make more money. I would also pick the date make it so and post up were we are going and when. I would shoot for this weekend making it offical.

Whats nice about the dead horse park is that we dont have to work a deal for a group it is first come first get the place you want.

we need to get this up no later then this weekend and make it very clear this place will fill fast that is there busy time of year so we need to make it very very clear if you want a spot you need to get it now

this will also help getting members off there ass and get them going sooner rather then later.

remember john if the place is full we can let members camp on our cabin sites for 15 bucks so it the place is full we have built in extras

lolomai is smack dab in between Sedona and Cottonwood

Deadhorse is closer to the Hard/medium trails.

I'd prefer Deadhorse due to location and being in town. Making it easy to buy supplies, fuel, total cost, the day use area for the dinner/raffle, and less driving for the more built guys who "may" be towing.

Sounds good John, I'm going to have my son with me so I am probably going to run the easy trails the first day. I'll see how that goes then maybe hit up the medium trails. I do like the day use area in the pictures better.

I'm good with either campground, both look pretty nice. I'm good with the $135 also as long as we sell a bunch of raffle tickets this go round.

I would like to sugest a bouncy house for the kids. I am sure someone has one we could use or rent cheap.

Then add the Ramp.

Food.

Music we will have a good little party at the day use area

Please no music, all there will be is bitching about what kind everybody wants to listen to. But I'm all for a moshpit in the bouncy castle.

Well lets get a sticky going for dinner/ticket preorders. Mike is going to cater again? If so what are/were the prices per plate?

I'll ask Mike if hes interested in catering. Dinner was $8 a plate with an additional $60 setup fee for Crappynamefest this year.

Might also want to ask the members if they have any other ideas before we post a sticky. I really liked Mikes BBQ and I dont think we will be able to find anyone to cater cheaper...but I guess we should ask anyway.

We can probably get a sticky going for raffle tickets without much issue. I noticed that paypal takes a cut of any money that gets sent to the account....its a pretty small cut...but a cut just the same. Just something to keep in mind.

Agreed...unless its classic rock...nobody doesnt love classic rock.

How many kids are coming? If its just a handful I vote no on the bounce castle. If theres a bunch we could go for it, but I would worry about the adults in it

ITs easy to tell the adults to stay out of it. If there are 10 kids or more that would be worth it. I can think of 4 between kraker and I. Last years there were a few and if we tell members its there for the nighs get together more might bring the kids.

Music I did not say a band or a loud set up but a small player with some back ground noise is a must sitting around like that eating drinking and hanging out is always better with something in the back ground.

Unlike the past were we all sit around a fire and see a big group over there and another over by that guys tent and another by the group of jeeps there.

for the first time we will all be in one place hanging out and we need to think about that

I'm ok with the bounce house if there's going to be enough kids to justify the expense.

I'd like to get the sticky up for pre-pay's So I'd like us to settle on pricing first and have the caterer nailed down so we can get that out to the masses and money coming in.

So what's our bottom dollar on pricing? Are we going to do a package or individual pricing?

Who's willing to take that on? Tyler? :D

Will you nail down pricing? per plate and or package deals. come up with some ideas.

on that note if we rent the day use area it's going to cost 135 for the hours of 5p-9p on saturday and we get 15 additional visitor passes.
