I have viking bowless tops on my site. They sell out before they even make it to the states. But I offer EVERYTHING on my site as in stock (yes thats my fault but read on), knowing that 99.9% of everything typically is, or worst case, I substitute with prior ok from customer, a higher $ and = quality item if need be.

I get a guy ordering one at about 4am (our time) and I get to teh office about 7 and see it and think, ought o, its a viking top. Knowing that right now with summer here, they sell out and are on 100% back order but filled about once a month.

I call the manufacture, ask about stock. they tell me the story I expected... On back order, the order coming in on the 20 of this month is all allocated they believe but will get back to me asap, and that the one for early/mid Aug, is not fully allocated and I can have one if I get in my order soon.

So about 8am I review the order from the customer. I see that they cant seem to fill in a full phone #, and are missing a digit. SO I start with my emails...

First email goes..
Thank you for your order.
After review of actual stock on hand we found that we do not have a top to send out currently.
We can offer one on the 20th of july, estimated ship date, or a full refund.
Please let us know what you would us to do.


I get a call about 9am and am told Julys stock is all gone aleardy.

SO I send another email about 9:30am...
Ok now we are really sorry. The tops coming in are already allocated out on back orders. The next order coming in with free stock will not be till mid August. If you like we can assure you get one from that incoming stock, or again we can refund your payment.
Just be aware that these are hott items that sell faster then stock coming in for us as well as the manufacture.

I dont hear anything by about 2 and figure ok maybe it went to spam box and will put something different in the subject and hope he gets that one. I do the same email as above.

at 7pm I get a reply from my first email saying...
Just ship it asap please. Give me next day or something I don't know man just get it here I got a hole in my top.
Ok I think WTF, can he read???

Well I can ship you a replacement top asap I believe. If u have all the hardware then its everything u need to replace all fabric and windows. Otherwise early to mid August is the soonest.

Then I think he finially read my email and send me this, this morning.
Go ahead and cancel my order. When you fill in the box that say's, "why?", put 'for conducting myself in an unprofessional manner.'

Thank you, please see to it that the charge is removed from my card. Also, please list that availability of stock is NOT on your website.

How was I unprofessional? he had a email (multiple within 4 hours) explaining and offering.
I replied with a choice email and asked him to never purchase another item from us...
But really? I did go in and add a disclaimer to that one product about how its common for back orders on it and the customer will be contacted with 12 hours if it will be back ordered and givign the choice.
I think some people are just born Idiots?
 
Guy seems like a jackass to me, the only fault I see in your emails is that you didn't use spellcheck before sending :lecture: :spin1:
 
Unfortunately that is the way it goes in retail sales sometimes. People will expect things of a retail business that are totally unreasonable. Sounds like the guy needs to get a clue.

yeah my phone has a decent spell check but Hott was ment to have 2 T's by me, but then rather then than was a screw up I guess :-)
 
DUDE, this is how it goes! Everyday i get this type of "Richard cranium" on the phone or deal with them in emails. It really feels like sometime most of the general public are a bunch of A holes sometimes.

Robert you can't please everyone and that guy would find something wrong if you had the top in stock. He was just looking for something to bitch about.
 
95% of transactions go with out a hitch
4 of the 5 that do have a problem are willing to have a substitution or wait for the item
That 1 that won't be pleased wouldn't have been pleased even with it hand delivered by hooters girls wrapped in bacon and with kegs of beer on their heads.

Don't let it bother you
 
I would suggest maybe putting a blurb next to that item that explains it takes a while to get in. That way, you are playing 100% fair and leave no room for error. :)

These Tops Sell Out FAST! We allow you to still place an order on them currently, but expect up to a 30 day delay. IF THERE WILL BE A DELAY, you will be contacted within 12 hours of your order and given the option to wait for the next available top in the USA direct from manufacture, or a full refund.

Please no hate mail due to your lack of ability to wait a week to 4 weeks, after we contact you and explain the manufacture cant keep up with the demand. It only makes it worse for those other customers that are respectable and can deal in a professional manner.

I second this lol. Not that Im perfect, but I may take exception to a business emailing me with "u" instead of spelling "you". However that is a personal pet peeve.

Adding that disclaimer is important as well. I understand not wanting to put backordered on it because that may chase people off your site in search of somebody who has it in stock. However, it would be a bit irritating to order an item, then find out that it's on backorder and i had to wait an extended period of time to until it was shipped. I would ask for free or discounted shipping at least :)

Anyways that guy is a douche. He should learn to read emails more thoroughly. You clearly stated the situation and I see no fault in that.
 
nobody likes it when a retailer lists stuff as 'in stock' when its really not, retailers (especially small ones) do it all the time. i think most people here are ignoring that aspect of the situation.

i still think you handled it very well, dont get me wrong.

i wouldnt call the guy a douche, bone head, dick head, any of those..... he wanted to buy from you, you couldnt fullfill the agreement, so he canceled his order?!? wheres the douchebaggery?!?!
it'd be differant if you didnt list it as in stock, if you were vague it would be differant, but you showed it as IN STOCK. i'd be pissed too.

Wow, I actually agree with Matt on this. :)

I agree that you shouldn't list something as "in stock" when you don't physically have the item. But you've already admitted that this may be an issue.

In the customer's e-mails, he didn't seem to be an ass. He said "thank you" and "please". He probably called you "unprofessional" because of the "in stock" thing.
