You guys... As the BOD can do more help than anything by being active and keeping this in the forefront of peoples minds. Don't just make a casual mention of it and then forget about it.

I told Vince I would help him out but it's going to take more than two of us. This needs to be a chapter wide effort.

I'm here now, thanks for the invite.

Ryan has already had the opportunity to take a look at the online tool I am using to keep track of this project. I have been steadily populating it today with issues, tasks and documents. Unfortunately, the free version only permits 3 users. This number is just about sufficient for me to manage the project in a semi-automated fashion.

If everyone that is involved in the project had a tool user ID I wouldn't have to remember to email people or update their progress manually. The tool is simply too expensive to consider paying for, so I am happy to make do with the limited version.

When I have finished entering the tasks that I have already listed I will start defining the roles of all the people that I need to delegate work to. I would rather do it this way as it gives each volunteer a clear idea of what I will be expecting of them. It is entirely possible for one volunteer to occupy many of the roles I will be defining. Having lots of small roles reduces the intimidation factor associated with participating in a large project. It's a formula I have used many times in JeepClub (my UK club) and at work. I am sure we will have lots of volunteers.

I am going to be away this weekend in England. Two of our friends are getting married on Friday and I will be back online again Monday morning.

It will be. In fact, I reckon it will involve three chapters - IC, SoCal, MWC.

From my enquiries so far, Brendan will not be able to do Registration and Rick & Bonnie will not be able to do Dinner.

At this stage, I am trying to repeat whatever has been done successfully at previous Fall Flings. If it can't be done, then I'm looking for an alternative.
 
At the IC BBQ this weekend can you guys start persuading people to get involved. I am going to have lots of small, easily done tasks. Yes, I can do a lot of them myself but I am packaging them up for chapter members so that they can have the satisfaction of doing them.

For example:-

I need someone to check the 'What's on' listing in Moab Happenings in June, July, August and September to see what other events are on in Moab October 6-10 to see if we are likely to have any trail clashes or something else interesting to do while we are there.

I need someone to find a trailer parking lot in Moab and get agreement that NAXJA can use it.

I need someone to arrive at the event early (Oct 5th) to setup the Registration and Check-In.

I need some T-Shirt designs to choose from, a competition perhaps.

I need some quotes from T-Shirt companies that can produce them.

And so on...

One task, one person to do it.

This really isn't a concern. It's not NAXJA's responsability. Most people who trailer their rigs plan on this ahead of time. Anyone staying at Slickrock doesn't have to worry anyway.

Its been my experince in the past that the best way to handle this is to have people post up a pic. The winner gets a free tshirt.

Called and left a message for Jody at the Grand Civic Center. Waiting a call back.

Looks like the only event in our time frame is the 24 hours of Moab. It falls on the 10th-11th and it will only effect Pritchett Canyon trails and Behind the Rocks.

I think we can work around that.

It seems like lately those trails are getting blocked on our events. Good think I have already done them.

If we can get a good T-Shirt Design I can contact the company that we did our Coats through. They were very competitive on that. Also we will bring up volunteers at the BBQ.

We can always do them earlier in the week. It's only Saturday that causes a problem.

BTW. The Civic center has been booked for Friday the 9th. We have a place to EAT!! DJ is sending the deposit and I will get the contract in the mail.

Vince. We need someone to handle the Wed night BBQ too. Talk to the MWC guys. Usually its them that does it.
 
Do we really want to do the dinner on Friday? Goatman reckons that a lot of people that are not taking the week off and live within a few hours drive don't come for the weekend because the dinner is on Friday. Having the dinner and raffle on Saturday means the event is still going strong into the weekend rather than tailing down after Friday.

Also. Do we really want to book a venue that we have nobody yet to prepare dinner for? I think we need to get the volunteers for dinner committed to the task before we pay a deposit on the venue.

I have been looking at other venues like the Ramada that can provide catering for us.

I like the Saturday Dinner Idea but also see where Friday dinner caters to the people going home on Saturday. Some people come from far away.

Also I would like to see Dinner people set instone before a deposit is made but if national is fronting the money that is up to them I guess.

For many reasons. Also. Saturday. And every other day in Oct has already been resrved. We are going to have to take what we can get at this point. The event has been put off for too long for us to pick and chose. If we wait any longer we will be sitting on a park bench with sack lunches

I will some some information to determine the price for shirts. We have a few different methods of decorating shirts. Screen printing which is the traditional method and digital which is a new process. With digital, we can do full color photographs and price is based on imprint size. Screen printing is based on the number of colors used.

For screen printing, I need the following:
  1. shirt brand
  2. shirt color
  3. imprint color(s) per location
  4. imprint location(s)

LOL that's funny. Most people(myself included) that I've talked to hated that shirt. Guess that's why they say everyone is entitled to their own opinion.

Do you want to do a Goatman style "quest for pics" thread to find a new design? Offer the winner a couple of free shirts? Seems to have worked well in the past. Vince... You can't be a judge :D

I shouldn't say hate. It was just my least favorite. Of course that could be that the 06 shirt was my design and the best one ever. :D
